SOLICITATIONS / COMMERCIALISM / POLITICALLY ORIENTED FUNCTIONS

A. Parking is for our Members First.  Members Only Parking will apply, every Wednesday night in the summer months, all day Saturday and Sundays, Holidays and special member events.  Parking on-property at the San Diego Yacht Club is not guaranteed for guests.  Parking availability will be determined by security the day of the event.  An alphabetical guest list is required by SDYC for security clearance and entrance into SDYC for all functions.
B. SDYC has "no smoking" and "no cell phone" policies inside the clubhouse. Member and Non-Member Guests are required to move to the outside areas adjacent to their room when smoking or using cell phones.
C. Member and Non-Member Guests hosting functions at SDYC are not allowed to blanket fund-raise by mail, email or by phone call for guests to attend a function.  Use of SDYC facilities for solicitation purposes is strictly prohibited.  Notices of the functions can not be placed in newspapers, periodicals, or other media.
D. Commercial Displays may not be placed in any common areas of SDYC.
E. Politically oriented events in support of individuals or causes are strictly prohibited.
F. The use of SDYC facilities is intended to provide a venue for the social activities for Members and Non-Member Guests.  Use of the facilities to satisfy a profit motive or for other commercial or political reasons is prohibited by the Club bylaws.

FINAL GUEST GUARANTEE is due (3) three business days prior to the scheduled date of the function. This number will be considered the definite number for final billing.  If the actual number of guest attendance is greater than the final guests guarantee, you will be charged accordingly.  The guarantee for Sunday parties is due on the Wednesday prior, and Monday/Tuesday parties are due on the Friday prior.  In the event a final guarantee figure is not supplied, the estimated number of attendees will be considered the final guarantee. Final guest guarantees may increase by approximately (10%) percent, but can not decrease once given to the Catering Office.  If multiple entrees apply, your final guarantee must include the final number for each entree item.

 

ALL FOOD AND BEVERAGE must be purchased from SDYC.  Members and Non-Member guests can not bring food or beverage into SDYC, with the exception of a cake and approved bottles of wine.  Please note there is a corkage fee of $11.50++ per 750ml bottle of wine and a cake cutting fee of $1.50++ per guest applied to final bill.  Functions scheduled in the Pavilion may provide their own food for "bring your own barbecues," provided an outside caterer is not used, SEE PAVILLION POLICIES.  "NO" alcoholic beverages may be brought into the Club, with the exception of approved wine.

Due to Health Regulations, Liquor Ordinance and Liability Insurance, no food or beverage may be taken from the Club at the conclusion of an event.

SERVICE CHARGE AND STATE SALES TAX will be added to all food and beverage charges on the final event bill.  The service charge is subject to state sales tax, as stipulated by the California State Board of Equalization Number 1603.

 

MENU SELECTIONS should be submitted to the Catering Office at least (4) four weeks in advance of the event.   The pre-printed menu selections are offered merely as suggestions, and the Catering Manager will be happy to tailor a menu to specific tastes and requirements.  Prices are guaranteed (30) thirty days prior to the event date, with the exception of items noted “market price”.  SDYC reserves the right to change prices without notice.

 

AUDIO / VISUAL EQUIPMENT is available on a limited basis from the Club, provided on a fee basis. Advanced notice is required to meet event needs.

DECORATIONS are the responsibility of the member/party planner. SDYC provides votive candles at no cost to accent the function centerpieces. Thumbtacks, tape, pins, and any other type of device that may harm the walls or building are prohibited. Members and Non-Member guests are requested to review all decorating plans with the catering office prior to the function date.

 

TABLE LINENS are provided as a standard service, in any combination of Red White or Blue. Assorted colors and upscale linen are available for an additional cost.

 

MUSIC performed outdoors must conclude by 10:00 p.m. to conform to the local noise ordinance. Regardless of the time of day, the member/party planner may be required to lower volume levels, in the event of noise complaints from others utilizing the Club. Contracted entertainers must contact the Catering Office to communicate their set-up and electrical needs.

 

PERSONAL BELONGINGS left behind at the conclusion of a function are not the responsibility of the Club. It is also the responsibility of the engager to secure and protect gifts and other items delivered to the function. The Club will assist in the movement of gifts within the Club premises or to curbside but only under the direct supervision of the engager or someone they have selected from their party.

 

INDEMNIFICATION Engager agrees to indemnify and hold harmless the Club, it’s officers, employees, agents, and other affiliated entities against all claims, losses, damages, and expenses arising from the engager, it’s employees, subcontractors, and guests while using the Club’s premises, except due to the Club’s negligence.

 

BILLING The member is financially responsible for the payment of a function when sponsoring a group.  Payment for functions must be made by the member, either through their Club account, or by personal check or credit card (Master Card or Visa only).

 

OVERTIME will be applied for each function over a four-hour time period.  Overtime is $25.00 per staff member per hour. 

 

DEPOSITS are required to secure function space for an event.  A deposit of $1,000.00 is required for all events estimated over $3,000.00 and events scheduled in the month of December in order to confirm your reservations at SDYC.  The deposit is applied toward the remaining balance of your event.  Deposits are non-refundable.

 

CANCELLATIONS must be received in writing.  A minimum of six weeks notice is required for all cancellations. Cancellations received less than six weeks prior to the event will be charged 25% of estimated event charges and or will forfeit the collected deposit.  Cancellations made within 72 hours of scheduled event will be charged for event in full.
